Everything you need to know about the Part-I OMR submission covering letter

It is the official covering letter that accompanies the submission of Part-I OMR sheets to the examination board. It certifies the college details, the submission period, the examination stream, and the number of absentee OMR Part-I sheets being submitted — so the consignment is correctly documented on receipt.

OMR (Optical Mark Recognition) Part-I sheets are the machine-readable candidate attendance / nominal roll sheets used in examinations. The covering letter accounts for the absentee OMR Part-I sheets — those of candidates who did not appear — that are being submitted for the specified submission days.

You can choose a preset range such as Four days (1st–4th), Four days (5th–8th), Four days (9th–12th), Six days (9th–14th), or Eight days (9th–16th). A blank fill-in option is also available for custom day ranges not covered by the presets.

Selecting GENERAL shows the General absentee OMR count field; VOCATIONAL shows the Vocational field; and GENERAL + VOCATIONAL shows both. Only the relevant count fields appear, so you enter absentee OMR Part-I counts for exactly the streams your college conducts.

Type the College Code — after 4 characters an autocomplete list of matching colleges appears. When you leave (blur) the field, the code is validated against the college database and the College Name is auto-filled in green, or an error is shown in red if the code is not found.

The Letter Submitting Date is the date on which the covering letter and OMR consignment are submitted to the board. It is selected from the calendar picker in dd/mm/yyyy format, restricted to within 3 months ahead and 1 month back.

Yes. The absentee OMR count fields accept numeric input only, up to three digits, so the letter records a valid count. Non-numeric characters are blocked automatically as you type.

Clicking Generate Letter produces a formatted covering letter containing the college details, mandal, submission days, stream type, and absentee OMR Part-I counts. It is ready to print, sign, and submit along with the OMR sheets.
